The Rum Room is our space for functions. From after-work drinks and birthdays to launches and late nights, we'll look after you and your guests from first round to last call.

How booking works

Five steps to your night.

Request your date

Fill in our booking form. Once confirmed, we'll hold the date for 7 days while you pay the deposit.

Confirm

Your booking is confirmed once the deposit is paid and the agreement is signed.

Final details

Final numbers, menu and drinks selections, plus dietary needs, by the date in your booking details.

Food order

Send your food order at least 2 weeks before the event.

On the night

Your deposit comes off the bill. The balance is paid before guests leave.

$500 minimum spend

Food, drinks and bar tabs during your booking count toward it. Any shortfall is charged as a venue hire fee on the night.

Bar tabs

Set a tab limit before the event. We'll check with you before it's exceeded.

Damage bond

We hold a card pre-authorisation for the bond, released within 5 business days if there's no damage or extra cleaning.

Decorations

All decorations need manager approval. No confetti, glitter, smoke machines, open-flame candles or helium balloons without written approval.

Food & cake

No outside food or drinks, except a celebration cake by prior arrangement (cakeage may apply).

Suppliers

DJs, bands, photographers and florists must be approved in advance and hold current public liability insurance.

Cancellations

Cancellations must be made in writing by email. The notice period is counted from when we receive your email.

The fine print

Function hire terms & conditions.

These terms apply to every function booked at Old Love's, 199 Clarence Street, Sydney NSW 2000. A booking is confirmed only once the deposit is paid and this agreement is signed.

1. Bookings and deposit
  1. A tentative booking is held for 7 days. If the deposit is not paid by then, Old Love's may release the date without notice.
  2. The deposit shown in the booking details is due by the deposit due date to confirm the booking.
  3. The deposit is credited in full against the final bill on the night. It does not cover the cleaning fee or damage.
  4. Final guest numbers, menu and drinks selections are due by the date in the booking details. After that, charges are based on the confirmed numbers or actual attendance, whichever is higher.
  5. The balance of the bill, including any minimum spend shortfall, is payable on the night before guests depart.
  6. All prices include GST. Card payments may attract a surcharge at the venue's current rate. A public holiday surcharge applies where shown.
2. Minimum spend
  1. The minimum spend is the least the client agrees to spend on food and beverages during the booked times.
  2. Food, drinks and bar tabs purchased by the client and guests during the booking count toward the minimum spend. Room hire, cleaning fees, damage charges, surcharges and security costs do not.
  3. If total spend falls short of the minimum spend, the difference is charged as a venue hire fee on the night.
  4. Unused minimum spend cannot be refunded, carried over or exchanged for vouchers or takeaway stock.
  5. Bar tabs must have a set limit agreed before the event. Old Love's will check with the client before the limit is exceeded.
3. Cancellations and changes
  1. Cancellations must be made in writing by email. The notice period is counted from when Old Love's receives the email. Deposit outcomes are set out in the cancellation table above.
  2. A date change is treated as a cancellation unless Old Love's agrees to it in writing.
  3. If Old Love's must cancel because of events beyond its control (such as fire, flood, power failure or a government health order), the client may move the booking or receive a full deposit refund. Old Love's is not liable for any other costs.
  4. Guest numbers may drop by up to 10% after the final numbers deadline without changing the minimum spend.
4. Guest numbers, times and access
  1. Guest numbers must not exceed the licensed capacity of the space booked. Old Love's may refuse entry once capacity is reached.
  2. The function runs between the arrival and finish times in the booking details. Access for setup must be agreed in advance.
  3. Extending the finish time is at the manager's discretion and may carry an extra minimum spend or staffing charge.
  4. Guests must leave the function space at the finish time. All client items must be removed by close unless agreed otherwise.
  5. Old Love's may use other areas of the venue for regular trade unless the client has booked the venue exclusively.
5. Food, beverage and responsible service of alcohol
  1. No food or drinks may be brought into the venue, except a celebration cake by prior arrangement. A cakeage fee may apply.
  2. Old Love's serves alcohol under the Liquor Act 2007 (NSW). Staff will refuse service to anyone who is intoxicated, and may ask them to leave.
  3. Guests may be asked for photo ID at any time. Minors are not permitted unless approved in advance and accompanied by a responsible adult, and will not be served alcohol.
  4. Menus, drinks packages and prices may change due to supply. Old Love's will offer a comparable alternative where an item is unavailable.
  5. Dietary requirements and allergies must be given with final numbers. Old Love's takes care but cannot guarantee any dish is free of allergens.
6. Conduct, security and noise
  1. The client is responsible for the behaviour of all guests and must make sure they follow venue rules and staff directions.
  2. Old Love's may remove any guest, or end the function early, for unsafe, offensive, illegal or disruptive behaviour. No refund applies in that case.
  3. Security may be required for some events or guest numbers. Where it is, the cost is charged to the client.
  4. Music and noise must stay within the venue's licence conditions. Outdoor courtyard noise must stop or drop by the time set by the manager.
  5. Smoking and vaping are allowed only in designated areas. Illegal drugs are not permitted and will be reported to police.
7. Damage, cleaning and lost property
  1. The client is responsible for any damage to the venue, its furniture, fittings or equipment caused by the client, guests or suppliers.
  2. A cleaning fee, as shown in the booking details, is charged if the space needs cleaning beyond normal post-service clean-up. Examples include confetti, glitter, spilled decorations, vomit, or stains to furniture or soft furnishings.
  3. Damage is charged at the full cost of repair or replacement, plus any lost trade while the area cannot be used. Old Love's will provide photos and an itemised invoice.
  4. The client authorises Old Love's to hold a credit card pre-authorisation for the damage bond amount. It is released within 5 business days if no damage or extra cleaning is found.
  5. Damage or cleaning costs above the bond amount are invoiced to the client and payable within 7 days.
  6. Old Love's is not responsible for lost or stolen property. Items found are held for 14 days.
8. Decorations, suppliers and entertainment
  1. Decorations must be approved by the manager before the event. Nothing may be nailed, screwed, taped or stuck to walls, bars or furniture.
  2. Confetti, glitter, smoke machines, candles with open flames and helium balloons are not permitted without written approval.
  3. External suppliers (DJs, bands, photographers, florists) must be approved in advance and hold current public liability insurance.
  4. Suppliers must follow staff directions and remove all equipment by the finish time.
  5. Old Love's may need to approve playlists or volume to suit the venue and its licence.
9. Liability, privacy and general
  1. To the extent allowed by law, Old Love's is not liable for injury, loss or damage suffered by the client, guests or suppliers, except where caused by Old Love's negligence. Nothing in these terms limits rights under the Australian Consumer Law.
  2. Old Love's may take photos in the venue for marketing. Guests who do not wish to appear should tell staff on the night.
  3. Client details are used only to manage the booking and are handled in line with the Privacy Act 1988 (Cth).
  4. Old Love's may update these terms. The version signed at booking applies to that booking.
  5. These terms are governed by the laws of New South Wales.
